Responsibilities

  • Perform regularly assigned liaison roles with other departments and sections within the University so as to foster synergy of efforts in performing shared responsibilities.
  • Participate in the regular preparation activities for departmental meetings such as dissemination of notices, agendas and planning for venues so as to ensure smooth running of the meetings.
  • Ensure continuous proper storage of office documents as per the established filing system for use in future references as well as ease of information retrieval.
  • Engage in regular dispatching of documents such as memos within the department to enable flow of information among interrelated positions.
  • Respond to regular information needs through retrieval of required files to provide the required information to inform on decisions.
  • Receive, confirm, process and forward job applications when need be for recruitment so as to inform on the next steps in the process such as shortlisting and selection.
  • Participate in conducting orientation of new staff in the department so as to aid in familiarization with the new work place procedures and facilities.
  • Maintain and regularly update employees’ files so as to reflect the current state of employed staff for decision making by the management.
